Requests for Proposals(RFPs)
We are issuing Requests for Proposals (RFPs) specifically for Key industry events. These events, carefully selected from our Conference Master List/Calendar, represent significant opportunities to showcase innovations within the Polkadot ecosystem, engage with the community, and drive forward the growth of our network.
For each of these selected events, we’ll release an RFP that outlines exactly what we are looking for—whether it's unique activities, workshops, presentations, or engagement strategies. These RFPs provide a structured way for you to submit your ideas and get involved. By focusing on these specific events, we can ensure that all proposed activities are aligned with the goals of Polkadot and have a meaningful impact.
Proposals for RFPs must be sent minimum 4 weeks before the event.
Through this process, we invite organizers and innovators to bring their best ideas to the table and help us make these key industry events a success.
Budget:
No Budget Cap: Funding depends on the event's size, scope, and strategic value to the Polkadot community.
Organizer Profile:
Professional organizers with a robust network and strong connections within the Polkadot community.
Extraordinary Events
Extraordinary events are one-of-a-kind events showcasing Polkadots innovation.
Extraordinary Events include any high-impact activities that fall outside of our standard Request for Proposal (Key Industry Events) and aren't considered meetups. These events can include a wide range of unique opportunities such as hackathons, sponsorships at conferences, workshops, side events, and other initiatives that drive significant engagement and innovation. CURATORS ARE NOT CURRENTLY CONSIDERING PROPOSALS FOR STANDALONE POLKADOT EXTRAORDINARY EVENTS OUTSIDE OF SUB0 & DECODED.
Proposals for Extraordinary events must be sent minimum 4 weeks before the event.
Budget:
No Budget Cap: Funding is flexible, based on the event's scope and potential impact.
Organizer Profile:
Experienced event organizers with a proven track record in managing large-scale, impactful events.
Meetups and Series Events
Polkadot Meetups are community-organized events designed to promote Polkadot technology and keep participants informed about the latest developments in the ecosystem. These events are cost-effective and intended to be organized frequently by ecosystem agents to foster local community engagement.
Proposals for Meetups must be sent minimum 2 weeks before the event.
Budget:
Venue, Drinks, Food: Up to $2,500 per meetup. For proposals including multiple meetups, the total budget cap is $10,000. Proponent must have successfully organised a standalone meetup before submitting a proposal for a meetup series.
Guest Speaker Travel: Up to $300 (maximum 1 guest speaker per meetup).
Photo & Video: $300 for capturing high-quality event footage.
Advertising: $300 for social media promotion (e.g., X, formerly Twitter).
For successfully organizing a meetup, the organizers are eligible for rewards based on the meetup’s success.
The reward amount will not be determined solely by the number of attendees. Curators will assess the impact of the meetup based on various factors, such as social media presence, the relevance of talks and projects presented, among other metrics.
Reward levels:
Level 1: 30 to 50 attendees - 200 USD per event
Level 2: 50 to 70 attendees - 300 USD per event
Level 3: More than 70 attendees - 500 USD per event
Organizer Profile:
Community member actively involved in the Polkadot ecosystem.
The Roots Series
Events Bounty has recently launched Polkadot Roots, a new initiative to empower experienced community members to create impactful Polkadot meetups in key Web3 hotspots worldwide. The program establishes strong local communities, promotes knowledge-sharing, and builds connections that align with Polkadot’s vision.
Polkadot Roots Initiative will be managed with Luuu as our dedicated sub-curator, ensuring consistent support and guidance for each local community organizer.
The first official hotspots are Miami and Southern Nigeria. Announcement for a new round of applications will be announced on Twitter.

Slippage Reimbursements
The Events Bounty offers reimbursement for slippage if there is a price drop exceeding a 10% threshold during the conversion of funds. To be eligible for slippage reimbursement, the following guidelines must be met:
Conversion Timing: The off-ramp to fiat or stablecoins must be executed within 48 hours of the funds becoming claimable.
Proof of Conversion: You must provide a screenshot of the off-ramp or conversion, clearly showing the date and time of the transaction.
By following these guidelines, you can ensure eligibility for reimbursement in the event of significant price fluctuations during fund conversion.

What the Events
Bounty doesn't fund
The Events Bounty does not provide funding for:
Per Diems: Daily allowances for personal expenses.
Team-Building Activities: Events or activities focused solely on internal team bonding.
Luxury Accommodations and Dining: Expensive hotels (4 stars or more), first-class plane tickets, and lavish dinners.
Unnecessary or Excessive Costs: Any expenses deemed unnecessary, overly expensive, or outside the scope of the event's purpose.
Proposal Writing: Costs related to the preparation or writing of the proposal will not be funded.
Agency or Management Fees: Labour work must be indexed per hour, and "agency fee" or "management fee" percentages will be rejected as they provide a negative incentive. We require a detailed breakdown of budgets to ensure transparency.
Uniforms as Merchandise: We do not fund team uniforms used as branded merchandise during the conference unless they have a specific utility.
Events and expenses must be reasonable and justified. Transparency is a core value of the Events Bounty, and the curators reserve the right to refuse any funding request or event proposal that does not align with these principles.

Disclaimer: From 2025, the RFPs in the “Master Conference Calendar” will take priority, and every event with a larger funding request will have a lower chance of being passed. This is to help improve the global events strategy of Polkadot, maintain quality and enhance speaker coordination, as well as business development efforts.
Once you have your template ready head over to our Submission Form to provide the necessary details about your event. Make sure to fill out all required fields accurately to avoid any delays in processing your application.

Submit and Confirm: Once you’ve filled out all the required fields and provided your supporting documents, click Submit. You will receive a confirmation email acknowledging receipt of your proposal.
